These Terms & Conditions apply to all appointments, consultations, treatments, products and services provided by Grove Aesthetics Studio (“Grove Aesthetics Studio”, “we”, “us” or “our”).
By making a booking with Grove Aesthetics Studio, you confirm that you have read, understood and agreed to these Terms & Conditions.
1. Bookings
Appointments can be booked through our online booking system, by telephone, message or through other approved booking channels.
When making a booking, you are responsible for providing accurate and up-to-date contact information.
An appointment is not confirmed until you have received confirmation from Grove Aesthetics Studio.
We reserve the right to refuse or postpone a treatment where we believe this is necessary for the client’s safety, wellbeing or suitability for treatment.
2. Consultation and Suitability
Certain treatments may require a consultation before treatment can take place.
A consultation allows us to discuss your concerns, medical history, medications, allergies, previous treatments, expectations and suitability.
Completion of a consultation or medical questionnaire does not automatically mean that treatment will be carried out.
Grove Aesthetics Studio reserves the right to decline, postpone or modify a treatment if we believe it is unsuitable or unsafe to proceed.
Where appropriate, we may recommend that you seek advice from your GP, pharmacist, prescriber or another suitably qualified healthcare professional before treatment.
The final treatment plan will always be based on professional assessment rather than a client’s requested treatment alone.
3. Medical Information and Client Responsibility
Clients must provide complete and accurate information regarding their medical history, current medications, allergies, previous procedures and any relevant changes in their health.
You must inform us before treatment if anything has changed since your consultation or previous appointment.
Failure to disclose relevant information may affect your suitability for treatment and may increase the risk of complications.
Grove Aesthetics Studio cannot accept responsibility for problems arising from information that has not been disclosed to us accurately or completely.
4. Treatment Results and Expectations
Every client responds differently to treatment.
While we will always aim to provide treatment to a high professional standard, specific results cannot be guaranteed.
Factors including individual anatomy, skin condition, lifestyle, medical history, healing response and adherence to aftercare instructions may affect results.
Photographs and examples shown on our website or social media are intended to demonstrate the types of results that may be possible and should not be interpreted as a guarantee of identical results.
Where a treatment requires multiple sessions, the recommended treatment plan will be discussed during consultation.
5. Treatment Decisions
Your safety is our priority.
We may recommend an alternative treatment, postpone treatment or decline to treat where we believe this is clinically or professionally appropriate.
A client’s request for a particular treatment does not mean that treatment will automatically be provided.
We will not knowingly perform a treatment where we believe doing so would place the client at unnecessary risk.
6. Deposits and Payments
A deposit may be required to secure an appointment.
The amount of any deposit will be clearly displayed at the time of booking.
Where a deposit is applicable, it will normally be deducted from the final treatment price.
Deposits and advance payments are subject to the cancellation terms set out below.
All treatment prices will be communicated before treatment is undertaken.
Payment is due at the time of treatment unless otherwise agreed in advance.
We accept the payment methods displayed by Grove Aesthetics Studio at the time of booking.
7. Cancellation and Rescheduling
We understand that circumstances can change and will always try to be reasonable where possible.
We ask clients to provide as much notice as possible if they need to cancel or rearrange an appointment.
More than 24 hours’ notice
Appointments cancelled or rescheduled with more than 24 hours’ notice will normally be eligible for a transfer of the deposit to a new appointment.
Where appropriate, a refund may also be considered.
Less than 24 hours’ notice
Where an appointment is cancelled or rescheduled with less than 24 hours’ notice, we reserve the right to retain all of the deposit where this reasonably reflects the loss caused by the late cancellation.
Any charge will be proportionate to the circumstances and will not be intended to exceed our reasonable loss.
Non-attendance
If you do not attend your appointment without contacting us, this may result in the loss of the deposit and/or a requirement for a further deposit before another appointment can be booked.
Repeated non-attendance may result in Grove Aesthetics Studio declining future bookings.
8. Late Arrivals
Please arrive on time for your appointment.
Arriving late may reduce the amount of time available for your treatment.
Where a late arrival means that the treatment cannot be safely or appropriately completed within the remaining appointment time, we may need to shorten, modify or reschedule the treatment.
Where possible, we will always discuss the options with you.
Repeated lateness may affect our ability to offer future appointments.
9. If You Are Unwell
Please do not attend your appointment if you are unwell or have a condition that may make treatment unsuitable.
This includes, but is not limited to, contagious illnesses, active infections or other conditions that may affect treatment safety.
If you become unwell before your appointment, please contact us as soon as possible.
Where possible, we will work with you to rearrange your appointment.
10. Treatment Contraindications and Medical Conditions
Certain treatments may not be appropriate for clients with particular medical conditions, taking certain medications, pregnant or breastfeeding, with an active infection, or who have recently undergone another aesthetic or medical procedure.
The suitability of treatment will be assessed on an individual basis.
We may request additional information or medical clearance where appropriate.
We reserve the right to postpone or decline treatment where we believe proceeding would not be appropriate.
11. Aftercare
Clients will receive appropriate aftercare advice following treatments where required.
Following aftercare instructions carefully is an important part of achieving the best possible outcome and reducing the risk of complications.
Clients are responsible for following the aftercare advice provided to them.
If you experience unexpected symptoms or have concerns following treatment, please contact Grove Aesthetics Studio as soon as possible so that appropriate advice can be provided.
Where urgent medical attention is required, you should seek appropriate emergency or medical assistance.
12. Follow-Up Appointments
Some treatments may require a follow-up or review appointment.
Where a review is recommended, the timeframe will be discussed during your consultation or treatment.
A review appointment does not automatically mean that additional treatment will be required or provided.
Any additional treatment will be discussed with you and, where chargeable, the cost will be explained before proceeding.
13. Refunds and Treatment Concerns
If you are unhappy with your treatment or have concerns about the service provided, please contact Grove Aesthetics Studio as soon as reasonably possible.
We will listen to your concerns and assess them fairly.
Where appropriate, we may offer a review appointment, further advice or another reasonable resolution.
Nothing in these Terms & Conditions affects your statutory consumer rights.
We will not use these Terms & Conditions to exclude or limit liability where doing so would be unlawful.
14. Treatment Packages
Where treatments are purchased as part of a package, the package terms, number of treatments, expiry period and price will be explained before purchase.
Package appointments should normally be used within the agreed timeframe.
If circumstances prevent completion of a package, please contact us so that we can discuss the available options.
Package terms will always be subject to applicable consumer rights.
15. Promotional Offers and Discounts
Promotional offers, discounts and introductory prices may be subject to specific terms.
Unless otherwise stated, promotions cannot be combined with other discounts or offers.
Any expiry dates or booking conditions will be clearly communicated when the promotion is advertised.
Grove Aesthetics Studio reserves the right to withdraw or amend a promotion where there is a legitimate reason to do so, provided this does not unfairly affect an appointment or purchase that has already been agreed.
16. Gift Vouchers
Gift vouchers are subject to the terms displayed at the time of purchase.
Gift vouchers cannot be exchanged for cash.
Lost or stolen gift vouchers may not be replaced where we cannot verify the original purchase.
Any expiry period will be clearly stated at the time of purchase.
17. Children and Young People
Some treatments have minimum age requirements.
Where a treatment is subject to a legal or professional age restriction, Grove Aesthetics Studio will comply with the applicable requirements.
We may request proof of age where appropriate.
Where a treatment is available to a young person, any required parental or guardian consent and accompanying requirements will be followed.
We reserve the right to refuse treatment where appropriate consent, identification or supervision requirements have not been met.
18. Photography and Before-and-After Images
Before-and-after photographs may be taken where clinically or professionally useful for assessing treatment progress.
Photographs will only be used for marketing, social media, website or educational purposes where appropriate consent has been obtained.
You can decline marketing use of your photographs without this affecting your treatment.
Any consent for photography or marketing use can be dealt with separately from consent to treatment.
19. Privacy and Personal Information
We collect and process personal information to provide treatments, manage appointments, communicate with clients, and meet our legal and professional obligations.
Where health or medical information is collected, it will be handled appropriately and kept confidential.

20. Client Behaviour
We are committed to providing a welcoming, professional and respectful environment.
Abusive, threatening, discriminatory or aggressive behaviour towards staff, practitioners or other clients will not be tolerated.
We reserve the right to end an appointment or decline future bookings where a client’s behaviour presents a safety concern or is inappropriate.
Any decision to refuse future bookings will be made reasonably and proportionately.
21. Accessibility and Additional Needs
We aim to make Grove Aesthetics Studio as welcoming and accessible as reasonably possible.
If you have accessibility requirements, sensory needs, communication requirements or other adjustments that would help you feel comfortable during your appointment, please let us know when booking.
We will make reasonable efforts to accommodate your needs where possible.
22. Complaints
We take client concerns seriously.
If you have a complaint or are unhappy with any aspect of our service, please contact us directly so we can investigate and resolve the matter.
Complaints should preferably be made in writing so that we can properly document and respond to the concern.
We aim to acknowledge complaints promptly and provide a reasonable response following investigation.
Nothing in this complaints procedure affects your statutory rights.
23. Changes to These Terms
We may update these Terms & Conditions from time to time to reflect changes to our services, business operations, professional requirements or applicable law.
The version applicable to your booking will normally be the version available at the time you make your booking, unless a change is required by law or regulation.
The current version will be available on our website and/or through our booking system.
24. Governing Law
These Terms & Conditions are governed by the laws applicable in Scotland.
Nothing in these Terms & Conditions affects any statutory rights you may have as a consumer.
